How to collect wedding photos from guests

Five ways to gather the photos and videos your guests take at a wedding, what each one costs you in effort, and how a QR code gallery keeps everything in one private place.

Your photographer captures the ceremony and the formal portraits. Your guests capture everything else: the getting-ready chaos, the toast nobody expected, the dance floor at midnight. Most of those photos stay on other people's phones. This guide compares the practical ways to collect them and explains how to set up the one that needs the least chasing.

What you are actually trying to solve

Collecting guest photos has three separate problems. Guests need a way to hand over files that takes seconds, not minutes. You need the files in original quality, not compressed by a messaging app. And you need everything in one place you control, so it can be sorted, downloaded and kept.

Any method that fails one of the three leaves you chasing people after the honeymoon.

The five common methods compared

1. A shared messaging group

A messaging group may already be familiar to your guests. Image quality depends on the sharing mode and settings. Check original-file options, size limits, contact-detail visibility and how you will organize and export files among the conversation.

2. A shared cloud folder

A shared cloud folder can preserve original files. Account requirements and upload permissions depend on the service and sharing method. Test the guest flow without your own account and explain the folder before sending the link.

3. A hashtag on social media

A hashtag is good for public celebration and bad for collection. Posts are compressed, private accounts are invisible, and you cannot download originals. Treat it as a bonus, not a collection method.

4. Disposable cameras on tables

Charming, and the results are a lovely surprise. You pay for cameras and development, you get a few dozen photos per camera, and you have no video and no way to see anything on the day.

A QR code on each table opens a private upload page in the guest's phone browser. Guests choose photos or videos from their camera roll or take new ones, and the files land in your gallery in original quality. No app, no account, no chat noise. This is what Capture Core Moments does for wedding photo sharing, and it solves all three problems at once.

  1. Create the event with your names and the wedding date. Each event gets its own private gallery, upload page and QR code.
  2. Personalize the upload page. Add a cover photo, your names and the colours of your wedding so the page feels like part of the day.
  3. Create albums if you want structure, for example ceremony, reception, getting ready and after-party. You decide whether guests pick an album or everything goes into one.
  4. Download the QR code and put it where guests will see it more than once: welcome sign, table cards, menus, the bar, near the photo booth. Printed mini cards and table cards are available if you prefer not to design them.
  5. Test one upload on an iPhone and an Android phone before the day. It takes two minutes and removes any surprise.
  6. Run the live slideshow on a TV or projector during the reception. New uploads appear automatically, which prompts more guests to join in.
  7. Download everything afterwards as a ZIP in original quality and keep a backup.

What to write on the table card

Short instructions work best. Something like: "Scan to share your photos and videos with us. No app needed." Add your names and, if you like, one line of what you hope to see: "Candids, dancing, the moments we missed."

After the wedding

Share the upload link once more in your thank-you message. Guests who took photos but did not upload on the day will usually do it when reminded, and the upload period on a paid package gives them time.

Frequently asked questions

Do guests need to install an app to share wedding photos?

No. With a QR code gallery, guests scan the code with their phone camera and the upload page opens in the browser. They pick photos or videos and tap upload. No app and no account are required.

Will the photos be in original quality?

Files uploaded through the gallery retain original quality. Other sharing methods can also preserve originals depending on their settings; test the export you need.

Can guests also leave messages?

Yes. Alongside photos and videos, guests can write a short message or record a voice note, which becomes a digital guest book for the wedding.

How long do we have to collect photos?

It depends on the package. The upload and storage periods are the main difference between packages, for example 6 or 12 months, so guests can keep adding photos long after the day.

Create your event, download your QR code and let guests upload photos and videos without an app.
